Answer: Users must access the housing portal to modify or cancel a room assignment. Portal access varies by registrant group. Please refer to the applicable Help Center article for your registrant group if you need assistance accessing the housing portal.
Step-By-Step Instructions
Upon reaching the housing portal Reservation Details page…
To Modify a room assignment…
- Click the Edit link located to the right of the room assignment you wish to modify.
- In the Modify Reservation popup window, click the Yes button.
- On the Review Your Reservation page, click the link (e.g. Change room, Edit stay dates, Edit guest information, Edit payment information, or Edit requests) for the type of modification you wish to perform.
- Update the information field(s) presented to make corrections or changes and click the Apply button.
- Examine the updated information presented on the Review Your Reservation page.
- Repeat steps 3-5 as many times as desired to complete changes.
- Tick the consent checkboxes and click the Confirm reservation button located in the Reservation Summary (at right) to save the changes.
- The portal will confirm changes by displaying the Your reservation is complete! message with option to Edit, Cancel, or Add to calendar. If you don’t wish to perform any additional operations, simply close your browser window to exit the housing portal.
To Cancel your room assignment…
- Click the Cancel link located to the right of room assignment you wish to cancel.
- Read the Cancel pop-up alert confirming whether you wish to cancel the room assignment in entirety (and incur applicable cancellation fees).
- Click the Yes button if you wish to cancel. Click the No button or simply close your browser window to abort the cancel operation.
After completing the modify or cancel operation, the housing portal will email you an updated acknowledgment for your review and records.
⚠ Tip: If you wish to abort a modify or cancel operation in-progress, you can simply close the browser window to abandon the session. Your room assignment and Manage Room button will remain intact and unchanged.
⚠ Important: If you cancel a room assignment the system will assess the applicable cancellation fee to the credit card stored in your payment information. If you change your mind later, you will not be able to restore your room assignment, though your Request Room button will reactivate enabling you to book a new room assignment. Cancellation fees are non-negotiable and non-refundable.
